4. Third-party services
We use the following services that may process your data:
- Sanity — content and subscriber data storage
- Resend — email delivery
- Stripe — payment processing
- Clerk — user authentication
- Vercel — hosting and analytics
Overseas disclosure of your personal information
Some of the third-party services we use to operate Coaching Life are based overseas, which means your personal information may be stored or processed outside Australia. In particular:
- Sanity (our content management and database platform) stores data on servers located in the United States.
- Resend (our email delivery provider) processes newsletter and transactional email data on servers located in the United States.
By submitting your personal information to us — for example, by subscribing to our newsletter or creating a directory listing — you consent to your personal information being disclosed to these overseas recipients for the purposes described in this Privacy Policy. We take reasonable steps to ensure these providers handle your information in line with the Australian Privacy Principles, including by selecting providers with appropriate security standards and contractual data protection commitments.
If you do not wish your information to be disclosed overseas, please do not submit it through the site.
5. Your rights
Under the Australian Privacy Act 1988, you may request access to, correction of, or deletion of your personal information. To unsubscribe from the newsletter, use the unsubscribe link in any email. For other requests, contact us at editor@coachinglife.com.au.
6. Cookies
This site uses essential cookies for authentication (Clerk) and may use analytics cookies via Vercel. No third-party advertising cookies are used.
7. How long we keep your information
We only keep your personal information for as long as we need it for the purpose we collected it, or as required by law.
In practice, this means:
- Newsletter subscribers — we keep your email address and subscription preferences for as long as you remain subscribed. If you unsubscribe, we remove your details from our active mailing list within 30 days, retaining only the minimum record needed to ensure we do not contact you again.
- Directory listings (coaches and businesses) — we retain your account and listing information for the duration of your active subscription and for up to 24 months after cancellation, so we can respond to billing queries, tax obligations and any disputes.
- Enquiries and contact form submissions — we keep these for up to 24 months from your last contact with us.
- Billing and tax records — we are required by Australian tax law to retain financial records for at least 5 years.
You can request that we delete your personal information at any time by emailing editor@coachinglife.com.au. We will action your request within 30 days, unless we are legally required to retain certain information (for example, tax records). Where we cannot delete information, we will tell you why and, where possible, de-identify it instead.
8. Changes to this policy
We may update this policy from time to time. Changes will be posted on this page with a revised date.
9. Data breaches
We take the security of your personal information seriously. If we become aware of a data breach involving your personal information that is likely to result in serious harm to you, we will comply with our obligations under the Notifiable Data Breaches scheme in Part IIIC of the Privacy Act 1988 (Cth).
This means we will promptly assess the breach, contain it where possible, and — where the scheme requires — notify both you and the Office of the Australian Information Commissioner (OAIC) as soon as practicable. Our notification will set out what happened, the kinds of information involved, and the steps we recommend you take to protect yourself.
If you believe your personal information held by us has been compromised, please contact us immediately at editor@coachinglife.com.au.
